Retention arguments often start with a round number someone once heard in a hallway. Vault access records deserve a better origin story: tie keep-periods to how long a disputed opening could still matter.

Start from retrieval, not storage cost

Ask which past opening you might need to reconstruct after a media set rotates, a vendor contract ends, or a customer questions a chain-of-custody step. If your cold media cycle is nine months, a 30-day log window is theater.

Separate paper and system exports

Badge exports and handwritten escort sheets age differently. Label each store with an owner and a destruction or archive trigger. Ambiguous “keep forever” folders become unsearchable attics.

Document the why

When you publish a retention calendar, include one sentence on the business reason. Future teammates stop shortening windows to “save space” when they see the dispute scenarios attached.
